General Terms & Conditions
Failure by the client to follow these terms and conditions can result in additional fees. IMPORTANT - Our staff will exclusively collaborate with the assigned responsible party to plan and organize the event. This practice ensures clear communication and streamlines planning.
DEPOSIT, PAYMENT, AND CANCELLATION POLICIES
If the event is scheduled for six weeks or less from the current date, simply paying the deposit is not sufficient to complete the reservation. Payment in Full is required for events scheduled within the six-week window, the booking must be paid in full at the time of reservation.
If you choose to pay the deposit only, payment in full is due 6 weeks before your event. A late fee of $50 will be applied after 5 days of nonpayment. After 10 days of nonpayment, the event will be canceled.
A full refund of deposit/rental fees can be given for up to 3 days if the reservation is secured more than 8 weeks before an event.
After 3 days, deposits (25% of rental) are non-refundable. Funds may be transferred to future rentals within 6 months of the cancellation date.
DAMAGE POLICY
Any missing or damaged property will be the full responsibility of the client; Replacement or repair costs will be at the owner’s discretion.
EVENT START AND END POLICIES
The cleaning fee includes the setup of all seating arrangements and other details as determined in conjunction with our professional event planner. Schedule a tour to discuss these details during the planning process. Only Lake Ida staff will be allowed to move any furniture.
Time for setup and cleanup/teardown must be included in your purchased rental time frame.
The cleanup must be completed by the rental's end time.
A staff member must approve cleaning and close out by an authorized renter.
All guests must vacate the building by the venue rental’s designated end time.
Renters who do not leave by the scheduled end time will be charged the maximum hourly rental fee.
Events must end by 11 pm. If venue rental is extended to Midnight a maximum of 10 people may clean up and close.
Parking
The building's parking lot has 30 spaces. Do not park in the grass at the north end of the building.
Additional parking is available along the right side of the public dead-end street, Mayflower Ct, directly across from the parking lot entrance on Lindsay Lane.
It is the renter’s responsibility to ensure that emergency vehicles can freely enter and exit the parking lot during an event.
Use of Venue Spaces
Art Studio – This can be added to hourly rentals or included in full-day rentals.
Café Room – This can be added to hourly rentals or is included in full-day rentals.
The kitchen is not available for renter or guest use.
The office area is for staff use ONLY.
Audiovisual
WiFi and Bluetooth audio are available for all rentals (no microphone or mixer is included).
A television monitor or projector with screen is available for an additional cost.
The Lake Ida staff will not provide tech support.
Cleaning and Tear Down
All trash must be bagged and placed in the large green trash cans outside the south end of the building (near the kitchen).
Floors and tables must be wiped clean of party trash or spills.
Any decorating/setting up items must be removed before leaving by the end of the scheduled rental time.
Other Rules
The client may not rearrange furniture and tables during an event.
Glitter or mylar confetti is not permitted on the property.
Bubbles and Sparklers are allowed in the parking lot area only under staff supervision, and the renter assumes the risk of injury to guests. No other fireworks are permitted. Sparklers should be properly extinguished (in water or sand) and cool before being placed in the trash.
Hot serving containers may not be placed directly on any furniture (must use hot pads or trivets).
Art and other decorative items may not be removed from walls or shelves without staff supervision.
Nails may not be added to any part of the building (inside or outside) for decorating purposes.
Open-flame candles may be used if encased in glass with staff permission.
No smoking is allowed inside or on the deck. Cigarette disposals are located outside deck gates and in front of the building.
Fishing is not allowed in the privately owned lake.
Any drug use or illegal activity on the premises will be prosecuted.
Alcohol Policy
Clients may serve or provide wine or beer to adults, age 21 or older if they have notified Lake Ida staff prior to the event (no hard liquor will be allowed). The client must acknowledge that the serving of alcohol carries potential risks and dangers beyond the control of Lake Ida Cafe and Fine Arts. As the responsible party, the client assumes all liability for all event participants, invitees & other guests and will acknowledge a policy in advance stating so.
